VITAL WorkLife Proven Process

Your organization has now entered into the Implementation phase of the VITAL WorkLife Proven Process. In this phase, we will work with you to strategically implement Well Being Resources to ensure your clinicians and stakeholders are well educated on the solution and communications are established throughout your organization.

What to Expect

Every organization is unique—in structure, levels of communication and clinician-specific support. Therefore, there is no standard approach to introducing and promoting VITAL WorkLife Well Being Resources that will meet the needs of all organizations. However, there are certain “best practices” we have found are critical in ensuring a successful launch and ongoing engagement.

Pre-Launch Phase

Please review the following prior to our first meeting. 

Action Items: 

  • Client Organization Profile: Please complete the form and send back to your assigned Account Team. This will help set up your organization in our system as well as help guide our upcoming conversations.
  • Your organization’s Key Initiative: Prior to our first planning meeting, please be thinking about your organization’s key initiative (or goal) for implementing the program by completing the following sentence:
    We are implementing Well Being Resources across the organization to ____________.
    • Examples from other organizations: 
      • Improve the well being of clinicians
      • Enhance organizational culture
      • Develop a cohesive well being message across the entire organization
      • Help combat the high burnout and depression rates within our organization 
  • Well Being Journey: Prior to our first planning meeting, please take time to review the stages and come prepared to share which stage your organization currently identifies with.
    • Well Being Journey Handout
      • Use the diagram to gauge where your organization is at today on your well being journey. By identifying the stage of Novice, Beginner, Competent, Proficient or Expert, your VITAL WorkLife team can help identify tactics to advance your organization to the highest stage (goal). Your team will revisit your stage year over year to see how your organization is advancing.

Information:

  • Email Allow List Instructions: Please provide these instructions to your IT department as it will help improve the deliverability of communications to your inbox.
  • Form W-9: This form can be provided to your Finance department for tax purposes.
  • Invoicing Information:
    • Invoices are sent electronically by the third Monday of the month for the following month.
    • Please check the number of “users” indicated on the invoice. If the user count is not accurate, indicate the correct number of users on the invoice and adjust payment amount accordingly.
    • Payment is due to VITAL WorkLife by the 20th of the month.
    • ACH Payment is available and allows clients to directly deposit payment to VITAL WorkLife’s checking account. ACH forms can be sent to Receivables@VITALWorkLife.com.
